The Default Billing Options are used to determine the rates at which your customers are charged for each case, loaded mileage, and the number of drivers handling the case.
Users with Admin-level permissions can access Default Billing Options by clicking on the Administration menu, clicking on Settings, then clicking on Billing Options.


The rates entered in the Default Billing Options settings will be applied to all of your customers. The only exceptions to these default rates will be any Entities that have unique billing rates entered. Users with Admin or Manage permissions can enter these rates by going to the Manage section, clicking on Entities, then creating a new entity or editing an existing one, and going to that entity’s Billing section. If you have customers with grandfathered pricing or a unique billing rate, you can enter their price rates while keeping the Default Billing Options set for all other customers.
The Default Billing Options are as follows:
- Base Rate: The base rate is added to all of your cases. This is a starting price point which the other settings build upon and add to.
- Included Miles: The number of loaded miles (miles after a driver has picked up a decedent) that are included in each case at no extra charge. Once mileage on a given case increases past this number, the Overage Mileage Rate will be added.
- Overage Mileage Rate: The price rate per mile that your customer is charged once the loaded mileage for a case surpasses your Included Miles.
For example, in my example above, I have 30 Included Miles. If a case involves 40 loaded miles of driving, they will be billed at a rate of $1.75 per those 40 total miles, for a total of $70.00
- Included Drivers: The maximum number of drivers that can be assigned to a single case at no extra charge. Once the number of drivers assigned to a case surpasses this number, the Overage Driver Rate will be added.
- Overage Driver Rate: The price rate per driver that your customer is charged for any drivers that surpass your Included Drivers. In the example pictured above, I have 2 Included Drivers. If a case requires 4 drivers, my customer will be charged the Overage Driver Rate of $30.00 per additional driver, for an overage total of $60.00.
- Driver Primary Rate: This is the charge added to each case for a Primary Driver being assigned to it. Since every case can only have one primary driver, and the first driver assigned to a case is automatically the primary, this will only ever be charged once for every case.
- Driver Assist Rate: This is the charge per every additional driver assigned to a case after the primary. A single case can have any number of assist drivers assigned, and this rate will be applied per each of those drivers.
